Manuscript Formatting and Templates

Please use the following guidelines when preparing your manuscript:

LENGTH: Maximum manuscript length is four (4) pages, including all figures, tables, and references. Any manuscript that exceeds the 4 page limit will be rejected.

 

LANGUAGE: All proposals must be in English.

MARGINS: Documents should be formatted for standard letter-size (8-1/2" by 11" or 216mm by 279mm) paper. Any text or other material outside the margins specified below will not be accepted:

All text and figures must be contained in a 178 mm x 229 mm (7 inch x 9 inch) image area.

The left margin must be 19 mm (0.75 inch).

The top margin must be 25 mm (1.0 inch), except for the title page where it must be 35 mm (1.375 inches).

Text should appear in two columns, each 86 mm (3.39 inch) wide with 6 mm (0.24 inch) space between columns.

On the first page, the top 50 mm (2") of both columns is reserved for the title, author(s), and affiliation(s). These items should be centered across both columns, starting at 35 mm (1.375 inches) from the top of the page.

The paper abstract should appear at the top of the left-hand column of text, about 12 mm (0.5") below the title area and no more than 80 mm (3.125") in length. Leave 12 mm (0.5") of space between the end of the abstract and the beginning of the main text.

A format sheet with the margins and placement guides is available in the following file formats:

PDF file (When you print this file, make sure the "shrink to fit" box is not checked!)

PostScript file

These files contain lines and boxes showing the margins and print areas. If you print one of these files, then stack it atop your printed page and hold it up to the light, you can easily check your margins to see if your print area fits within the space allowed.

TYPE:

Face: To achieve the best viewing experience for the review process and conference proceedings, we strongly encourage authors to use Times-Roman or Computer Modern fonts. If a font face is used that is not recognized by the submission system, your proposal will not be reproduced correctly.

Size: Use a font size that is no smaller than 9 points throughout the paper, including figure captions. In 9-point type font, capital letters are 2 mm high. For 9-point type font, there should be no more than 3.2 lines/cm (8 lines/inch) vertically. This is a minimum spacing; 2.75 lines/cm (7 lines/inch) will make the proposal much more readable. Larger type sizes require correspondingly larger vertical spacing.

TITLE: The paper title must appear in boldface letters and should be in Title Case (each non-minor word should begin with a capital letter). Do not use LaTeX math notation ($x_y$) in the title; the title must be representable in the Unicode character set. Also try to avoid uncommon acronyms in the title.

AUTHOR LIST: The authors' name(s) and affiliation(s) appear below the title in capital and lower case letters. Proposals with multiple authors and affiliations may require two or more lines for this information. The order of the authors on the document should exactly match in number and order the authors typed into the online submission form.

ABSTRACT: Each paper should contain an abstract of 100 to 150 words that appears at the beginning of the document. Use the same text that is submitted electronically along with the author contact information.

BODY: Major headings appear in boldface CAPITAL letters, centered in the column. Subheadings appear in capital and lower case, either underlined or in boldface. They start at the left margin of the column on a separate line. Sub-subheadings are discouraged, but if they must be used, they should appear in capital and lower case, and start at the left margin on a separate line. They may be underlined or in italics.

REFERENCES: List and number all references at the end of the document. The references can be numbered in alphabetical order or in order of appearance in the paper. When referring to them in the text, type the corresponding reference number in square brackets as shown at the end of this sentence [1]. The end of the document should include a list of references containing information similar to the following example:

ILLUSTRATIONS & COLOR: Illustrations must appear within the designated margins. They may span the two columns. If possible, position illustrations at the top of columns, rather than in the middle or at the bottom. Caption and number every illustration. All halftone illustrations must be clear in black and white. Since the printed proceedings will be produced in black and white, be sure that your images are acceptable when printed in black and white (the CD-ROM and IEEE Xplore proceedings will retain the colors in your document).

PAGE NUMBERS: Do not put page numbers on your document. Appropriate page numbers will be added to accepted papers when the conference proceedings are assembled.

Templates

The following style files and templates are available for users of LaTeX and Microsoft Word:

LaTeX style file with margin, page layout, font, etc. definitions.

BiBTeX style file with bibliography style definitions.

LaTeX template file, an example of using the "spconf.sty" and "IEEEbib.bst" files above.

PDF generated from the template file.

Word 97/2000 Sample, a template of correct formatting and font use.

We recommend that you use the Word file or LaTeX files to produce your document, since they have been set up to meet the formatting guidelines listed above. When using these files, double-check the paper size in your page setup to make sure you are using the letter-size paper layout (8.5" X 11"). The LaTeX environment files specify suitable margins, page layout, text, and a bibliography style.

In particular, with LaTeX, there are cases where the top-margin of the resulting Postscript or PDF file does not meet the specified parameters. In this case, you may need to add a \topmargin=0mm command just after the \begin{document} command in your .tex file. The spacing of the top margin is not critical, as the page contents will be adjusted on the proceedings. The critical dimensions are the actual width and height of the page content.

Instructions for Submission

Authors MUST submit their manuscripts through the EDAS web site http://edas.info/ together with a short abstract (approximately 150 words) using the EDAS web site forms. Please note that authors must create their own accounts in the EDAS web site http://edas.info/ before submitting paper(s). Manuscripts may only be submitted in PDF format.

Manuscripts must be written in English and follow the instructions in Manuscript Formatting and Templates  

Papers submitted by students may be considered for the Best Student Paper Award. To be eligible, the student must be the sole author of the paper, or the first author and primary contributor. A cover letter or email to the Technical Program Chair must identify the paper as a candidate for this competition at the time of the submission. The winner of the award will be announced during the conference.

All paper submissions will be carefully reviewed by at least three experts and reviews will be returned to the author(s) with comments to ensure the high quality of the accepted papers. The authors of accepted papers must guarantee that their paper will be presented at the conference. 

Quick guideline on submitting papers through EDAS:

  1. Log on to http://edas.info/(Enter your EDAS user id and password. If this is your first time using EDAS, you will need to set up an account.)
  2. Click on the "submit paper" button.
  3. Look under "Conferences Accepting Submissions" for "ICME'07: 2007 IEEE International Conference on Multimedia and Expo". Click on the Submit Icon in the last column, you will be directed to the ICME’07 paper submission page titled "Register a paper for 2007 IEEE International Conference on Multimedia and Expo." 
  4. On the ICME’07 paper submission page, you will find a list of tracks as shown below:

  1. Choose the appropriate track for your paper and click on the corresponding Submit Icon in the last column. Please note that ALL papers should be submitted to the individual track. Please do NOT choose ICME'07 again in this page. Your paper may not be reviewed properly if appropriate track is not selected.
  2. Fill in the submission form including the authors, paper title, and paper abstract.  Note that ALL authors must be entered in the online form, and must appear in the online form in the same order in which the authors appear in the manuscript.
  3. Double check the information you provided in the form and click on the 'submit' button.
  4. Upload your paper. We accept PDF format only.
  5. You will receive a notice from the conference if we encounter any printing problem or other problems.

Every paper accepted for publication in the Proceedings of ICME 2007 MUST be presented during the conference. Accepted papers may be presented in either oral format or poster format. The format of presentation does not differentiate the quality of the paper. A paper's format of presentation will be decided by the conference program chairs based on the paper topic and session allocation.   

Every paper accepted for ICME 2007 MUST have attached to it at least one registration at the FULL rate. For authors presenting multiple papers, one FULL registration is valid for up to three papers. Thus, for a paper for which all authors are students, one student author will be required to register at the full registration rate. For papers where at least one author is already registered at the full rate, this fulfills the obligation for up to four papers where all the other authors are students.

Instructions for Final Camera-Ready Manuscript Submission

You are required to submit an IEEE Xplore-compatible PDF file for your final camera-ready manuscript by April 25, 2007. NO EXTENSIONS WILL BE GRANTED BEYOND THE DEADLINE. Failure to submit a final camera-ready manuscript that is IEEE Xplore-compatible will result in an automatic withdrawal of your paper for presentation and publication. Before uploading your final manuscript, you are required to use the free IEEE PDF eXpress service to check or create your IEEE Xplore-compatible PDF file of your final manuscript. Please refer to instructions for using IEEE PDF eXpress to check or create your PDFs

Authors of accepted papers MUST submit their final manuscripts through the EDAS web site http://edas.info/ together with a short abstract (approximately 150 words) using the EDAS web site forms. Please use the same EDAS accounts you have used for your initial manuscript submission (for peer review). Final camera-ready manuscripts may only be submitted in PDF format.

To submit your final camera-ready manuscript, log on to the EDAS system, go to "My Papers" tab and click on each paper title to enter individual paper page. Click on the upload icon  next to the field “Final Manuscript” to upload your final manuscript. Make sure that your final manuscript is IEEE Xplore-compatible before uploading it to EDAS. Please also make sure that the names and affiliations of all authors in the correct order are entered into the EDAS system and the correct paper title/abstract is in the EDAS system.

Every paper accepted for ICME 2007 MUST have attached to it a properly executed IEEE copyright transfer form submitted before the final paper submission deadline. NO EXTENSIONS WILL BE GRANTED BEYOND THE DEADLINE.  Please see the instruction for submitting the IEEE copyright form.

Important Notes: Every paper accepted for ICME 2007 MUST have attached to it at least one registration at the FULL rate before the final paper submission deadline. Use IEEE PDF eXpress to check or create your PDFs

ICME 2007 has registered for use of a new IEEE tool: IEEE PDF eXpress

The new IEEE Xplore® Requirements for PDF will be enforced. All conference articles submitted for inclusion in IEEE Xplore must adhere to the IEEE Xplore PDF specification for compatibility.

IEEE PDF eXpress is a free service to IEEE conferences, allowing their authors to make IEEE Xplore-compatible PDFs (Conversion function) or to check PDFs that authors have made themselves for IEEE Xplore compatibility (PDF Check function).

IEEE PDF eXpress converts the following file types to PDF:

·       Rich Text Format

·       Freelance

·       (La)TeX (DVI and all support files required)*

·       PageMaker

·       FrameMaker

·       QuarkXpress*

·       Word Pro

·       Microsoft Word

·       WordPerfect

*For documents created in formats that do not embed source files, include all support files with the final manuscript in a folder. Put this folder in a compressed archive for submission. If it is possible to embed images in the source document, you should do so to avoid potential issues, such as missing graphics.

IMPORTANT: A DVI (DeVice Independent file) is required for LaTeX conversions, in addition to all associated image files. Make sure that your LaTeX system can output a DVI, otherwise it cannot be converted. Be sure also to check that your images are properly referenced, and that DVI can handle the image file types used (DVI does not handle some newer image types, such as *.png).

Steps for checking or converting PDFs using IEEE PDF eXpress:

  1. Create your manuscript(s).
  2. Proofread and check layout of manuscript (it is highly recommended that you do this BEFORE going to IEEE PDF eXpress).
  3. Create IEEE PDF eXpress account.
  4. Upload source file(s) for Conversion; and/or PDF(s) for Checking.
  5. Use IEEE PDF eXpress to attain IEEE Xplore-compatible PDF(s). The site contains extensive instructions, resources, helpful hints, and access to technical support.
  6. Submit final, IEEE Xplore-compatible PDF(s) to ICME07 according to the online final paper submission guidelines. The deadline is April 25, 2007.

 

Note: Uploading a paper to IEEE PDF eXpress is NOT the same as submitting the final camera-ready paper for publication. You will still need to submit the checked PDF of your final manuscript through EDAS. Please refer to the ICME07 online final paper submission guidelines.

 

 

Detailed Instructions

1. Access the IEEE PDF eXpress site and logon as follows:

First-time users:

a.       Click “New Users - Click Here”.

b.      Enter ICME07 for the Conference ID, your email address, and choose a new password. Continue to enter information as prompted.

c.       You will receive online and email confirmation of successful account setup.

Previous users, but using it the first time for a new conference:

a.       Enter ICME07 for the Conference ID, your email address, and enter the password you used for your old account.

b.      When you click “Login”, you’ll receive an error saying you need to set up an account. Simply click “Continue”. By entering your previously used email address and password combination, you will enable your old account for access to this new conference.

c.       Check that the contact information is still valid, and click “Submit”.

d.      You will receive online and email confirmation of successful account setup.

Returning users:

a.       Enter ICME07 for the Conference ID, your email address, and password.

2. For each conference paper, click “Create New Title”.
3. Enter identifying text for the paper (title is recommended but not required).
4. Click “Submit PDF for Checking” or “Submit Source Files for Conversion”.
5. Indicate platform, source file type (if applicable), click Browse and navigate to file, and click “Upload File”. You will receive online and email confirmation of successful upload.
6. You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed. Take one of the following actions:

      If the PDF submitted fails the PDF check:

a.       Submit your source file for conversion by clicking Try again, then Submit Source Files for Conversion OR

b.      Read the PDF Check report, then click “The PDF Check Report” in the sidebar to get information on possible solutions  OR

c.       Click “Request Technical Help” through your account.

            If you are not satisfied with the IEEE PDF eXpress-converted PDF:

a.       Resubmit your source file with corrections by clicking Try again, then Submit Source Files for Conversion OR

b.      Submit a PDF by clicking Try again, then Submit PDF for Checking OR

c.       Click “Request a Manual Conversion” through your account.

            If the PDF submitted passes the PDF Check, or you are satisfied with your IEEE PDF eXpress-   converted PDF:

a.       Submit your IEEE Xplore-compatible PDF(s) according to the ICME07 online final paper submission guidelines.

Submission of IEEE Copyright Form

Authors of accepted papers should complete the IEEE e(electronic)Copyright form by logging on to the EDAS system and going to "My Papers" tab and clicking on the 'c' icon under the column "Copyright Form" where their paper is located. Follow the instructions there to submit an electronically signed copyright transfer form to IEEE. You will not need to fax or mail a paper copyright form. The copyright form must be submitted before the final paper submission deadline. NO EXTENSIONS WILL BE GRANTED BEYOND THE DEADLINE.
